SIDECAR ADVISORY — QUOTE FOLLOW-UP WORKFLOW CHECKLIST

Use this planning checklist with your agency's process owner. It is an
illustrative operational aid, not a product specification or client result.

DEFINE THE GAP
[ ] Name the missed handoff or repeated task.
[ ] Pick one quote type or manageable process to review.
[ ] Record the current volume and staff effort using a consistent method.

MAP THE PROCESS
[ ] Identify the source of truth for quote status.
[ ] Define what confirms a quote was actually sent.
[ ] Give every open quote an owner and next-action date.
[ ] Decide who reviews messages and handles exceptions.
[ ] Define stop conditions: reply, decline, pause, do not contact.
[ ] Decide how staff update status if replies cannot be detected reliably.

CHECK YOUR TOOLS
[ ] Verify features, account permissions, and integration availability.
[ ] Check whether existing tools already solve the problem.
[ ] Identify extra subscriptions and ongoing administration costs.
[ ] Agree on required data, access, processing, and review requirements.

TEST WITH FICTIONAL RECORDS
[ ] Open, assigned, due quote produces one correct task.
[ ] Missing owner or contact details is flagged for review.
[ ] Reply before a reminder prevents the reminder from continuing.
[ ] Duplicate quote does not create duplicate reminders.
[ ] Paused/declined/do-not-contact record does not continue.
[ ] Connection failure is visible to the responsible person.
[ ] A team member can pause and restart the process safely.

HAND OFF AND MEASURE
[ ] Write down ownership, maintenance, and escalation steps.
[ ] Train the person who will administer the workflow.
[ ] Compare overdue tasks and staff effort using the original method.
[ ] Include review, maintenance, and software costs in the assessment.
[ ] Treat time saved as capacity; do not assume it equals cash savings.
