A quote goes out. The producer moves to the next request. A few days later, nobody is sure whether the prospect received a reminder, replied to another person, or already chose a policy. The problem is often a missing handoff rather than a missing AI tool.
This service is a fit when your team can identify a recurring gap: open quotes with no next-action date, reminders tracked in separate inboxes, or the same status copied between systems. We start with the work your staff already does and check whether a simpler process or your existing software can solve it.
If your current system already handles the process reliably, a custom integration may add unnecessary cost. The audit is where we make that call together.

The design also needs a way to pause, handle missing information, and stop follow-up when the prospect replies, declines, or should no longer be contacted. We agree on these conditions before launch.

Start with your AMS, CRM, and email setup
You do not need to replace your agency management system to have the conversation. Bring the names of the systems you use, the subscription plans, and an example of how an open quote is tracked today.
Compatibility is checked before a proposal. Access to the right fields, vendor permissions, available integrations, and reliable reply/status signals all affect what is possible. Naming a platform does not mean we have verified an integration with your account.
- Existing automation: We first check whether your current tools can create tasks, reminders, and stop conditions.
- Connections between tools: Where needed and supported, we scope how records move between approved systems.
- Manual review: If a reliable reply signal is unavailable, a staff-controlled status update may be the better design.
- Software costs: Any additional subscriptions or required upgrades are identified separately before you commit.

A map of the trigger, owner, next action, review step, stop conditions, and exceptions. We define what stays manual as well as what gets automated.
A tested workflow
The agreed setup in your approved tools, checked against representative test cases before live use. We include replies, missing data, duplicate records, and pause/stop scenarios in the acceptance plan.
A usable handoff
Written operating instructions and team training: how to review a task, correct a record, pause the workflow, and recognize when something needs attention.
A clear support decision
You know who administers the tools after handoff, which accounts and access are needed, and what ongoing support would cover. Monthly support is optional.
What does it cost, and how will we know it helped?
The Workflow Audit is free. A focused Starter Pack is $2,500–$3,500, planned over about 30 days. The exact workflows, connections, and acceptance criteria are agreed in writing. A larger or specialized build is scoped separately; a particular AMS integration is not automatically included in that range.

Before changing the process, record a baseline. Useful measures include open quotes without a next action, overdue follow-up tasks, staff time per quote, and reminders that needed correction. Compare the same measures after launch. Recovered staff time is not automatically cash savings, and no sales lift or dollar saving is guaranteed.
Your team keeps the judgment calls
We focus on administrative follow-up. Coverage advice, pricing explanations, binding decisions, and unusual client requests stay with the appropriate agency staff. A draft should not add policy details or make promises that were not supplied and reviewed.
Use fictional or appropriately redacted examples during the initial audit. Before implementation, we agree on the data the workflow needs, who can access it, where it is processed, and your agency's review requirements. Tool availability alone does not establish that a setup is suitable for your business.

You keep the audit whether or not you move forward. If implementation makes sense, the next step is an agreed scope and price—not an automatic retainer.
